Global Ratings - How To Guide

Global Ratings provide a centralized way to create, manage, and reuse standardized rating labels across templates, comments, and reports. Ratings help inspectors classify issues, highlight safety concerns, and clearly communicate the condition of each item.

What Global Ratings Do

Global Ratings live inside the Comment Library and automatically flow into templates and reports.

Key benefits:

  • Automatic import of ratings when importing comments from templates

  • Reusable across all comments

  • Support for multiple ratings on a single comment

  • Automatic addition of missing ratings during report writing

  • Easy search, sort, edit, and delete functionality

Where to Find Ratings

  1. Open Templates from the main navigation.

  2. Click on Open Comment library

  3. Select the Ratings tab (Comments | Lists | Tags | Ratings).


The Ratings tab displays:

  • Name

  • Definition

  • Include in Summary (Yes or No)

  • Color

  • Times Used

  • Edit and Delete actions

You can use the search bar to quickly find ratings or sort columns as needed.

Importing Ratings from Templates

When importing comments from templates into the Comment Library, any ratings attached to those comments are automatically created in the Ratings tab.

To import:

  1. Open Comment Library.

  2. Click Import Comments from Templates (or use the Options menu if comments already exist).

  3. Select one or more published templates.

  4. Click Import.

Once complete, associated ratings will appear automatically in the Ratings tab.

Creating a New Rating

  1. Open the Comment Library and navigate to the Ratings tab.

  2. Click Add New Rating.

  3. Enter the rating details:

    • Name

    • Definition

    • Include in Summary setting

    • Color

  4. Click Save.

The rating is now available across comments, templates, and reports.

Editing or Deleting a Rating

To edit:

  1. Locate the rating in the Ratings tab.

  2. Click the Edit icon.

  3. Update the details and click Save.

To delete:

  1. Click the Trash icon next to the rating.

  2. Confirm deletion.

Deleted ratings are removed from the Ratings list but remain in existing reports.

Using Ratings in Comments

When creating or editing a comment:

  1. Click Add New Comment in the Comment Library, Template Editor, or Report Writer.

  2. Use the Ratings dropdown to select one or multiple ratings.

  3. Save the comment.

Selected ratings are attached to the comment and will appear anywhere that comment is used.

How Ratings Behave in Templates and Reports

When inserting a comment from the Comment Library into a template or report, all attached ratings are carried over automatically.

If a rating attached to a comment does not already exist in the template or report:

  • The system automatically adds that rating to the template’s rating list.

  • The rating is also added to the report and displayed under Definitions.

This ensures consistent rating availability without additional setup.
